Role Synopsis:

IT&S Functions plays a critical role of delivering cost-effective world-class services that the BP businesses can rely upon in support of their own performance. Our specific accountabilities include the delivery of services to specified Group Functions including S&OR, Legal, Ethics and Compliance, Digital Communications and support to the Executive Team. This is in addition to supporting the IT&S agenda across BP. These services must also be delivered safely and secured, with the sensitiviy required in a head office environment.

Key Accountabilities:

  • Diary Management: Management of the diary and appointments and provision of a full administrative service including organisation of travel.
  • Meetings & Events: Organising meetings including ensuring that the practical arrangements are in place, that the meeting runs without any hitches and any necessary preparation materials are received on time. This will include conferences and off-site meetings.
  • Relationship Management: Building and maintaining good relationships with a number of key internal and external contacts.
  • Correspondence: Written and verbal correspondence with internal and external contacts. Extensive use of e-mail system including access to e-mails as appropriate, including progressing with others in the absence of the recipient, ensuring that correspondence with such contacts is courteous, helpful and completed in a timely manner.
  • Administration: Acting as a point of contact on a day-to-day basis. Responsibility for travel booking and the submission of e-expenses and management of invoices.
  • Co-ordinate the monthly headcount tracking sheets for each Domain and provide a consolidated view.
  • Ensure Org chart is accuarte.
  • Provide cross team support when needed; including providing holiday cover for other PA and Team Assists if required.

Essential Experience & Job Requirements:

  • Full range of secretarial skills, including organisation, prioritising, forward planning and administration.
  • Highly adaptable, with strong inter-personal skills.
  • Supportive team working and networking skills with peers and managers world-wide.
  • Ability to work without supervision and under pressure, intelligently assess and anticipate requirements.
  • Ability to prioritise incoming material, anticipate the requirements and determine what can be actioned or referred in the absence of the IT Directors.
  • Ability to work with others in a team, sharing responsibility for quality and delivery with colleagues.
  • Flexibility and efficiency to ensure the roles and responsibilities are met in a timely and effective manner.

Desirable Criteria & Qualifications:

  • Strong performance track record in previous administrative roles.
  • Full range of secretarial skills, including organisation, prioritising, forward planning and administration.
  • Highly adaptable, able to deal with ambiguity and changing priorities.
  • Excellent, courteous team working and networking skills with peers and managers world-wide.
  • Ability to work under pressure, intelligently assess and anticipate the requirements.
  • Ability to judge and maintain confidentiality.
  • Flexibility and efficiency to ensure responsibilities are met in a timely and effective manner.
